Please read these conditions carefully. By paying the booking deposit, you (the “Traveler”) agree to be bound by these Terms & Conditions, which form the legal contract between you and KilimanjaroJoy.Travel.
1. The Role of BucketListSpots Ltd
You acknowledge that BucketListSpots Ltd acts solely as a disclosed booking agent for the Operator.
The deposit paid at the time of booking is collected by BucketListSpots Ltd on behalf of the Operator to secure your dates. BucketListSpots Ltd is not a tour operator, does not employ the Guide, and assumes no liability for the delivery, safety, or execution of the expedition.
Your contract for the trip is exclusively with KilimanjaroJoy.Travel.
2. Booking, Deposits, and Payment
The Deposit
To secure your booking, a non-refundable deposit of minimum 10% of the total trip cost is required. This is processed securely via the BucketListSpots platform.
The Balance
The remaining 90% balance is owed directly to the Operator. This must be paid via online transfer (e.g., Wise transfer in USD) or cash on arrival no later than Day 1 of the pre-trip briefing.
Failure to Pay
If the balance is not paid within the specified timeframe, the Operator reserves the right to cancel the booking without refunding the deposit.
3. Cancellation by the Traveler
If you need to cancel your expedition, you must notify us in writing. Cancellations are effective from the date written notification is received.
- 45+ days before departure: Loss of 25% of the total trip cost
- 15–45 days before departure: Loss of 50% of the total trip cost
- Less than 15 days before departure / No-show: 100% of the total trip cost is non-refundable
We strongly advise purchasing “Cancel for Any Reason” travel insurance to protect your investment.
4. Cancellation or Alteration by the Operator
Force Majeure
We reserve the right to cancel or significantly alter the trip due to unforeseen circumstances beyond our control (e.g., extreme weather, natural disasters, political instability, or park closures).
In such events, we will offer alternative dates or a comparable trek. Refunds for Force Majeure cancellations will be subject to the recovery of non-refundable costs (such as park permits).
Safety Alterations
Mountain and wilderness environments are unpredictable. The Lead Guide reserves the absolute right to change the itinerary, route, or camps at any time if the original plan compromises the safety of the Traveler or crew.
5. Mandatory Travel & Medical Insurance
Adequate and valid travel insurance is strictly mandatory for all travelers.
- High-altitude trekking up to 6,000m
- Helicopter rescue
- Medical evacuation
- Repatriation
You must provide proof of insurance (Policy Number and 24/7 Emergency Contact) during your pre-trip briefing. If you fail to provide adequate proof of insurance, the Operator reserves the right to deny participation in the trek with no refund provided.
KilimanjaroJoy.Travel and BucketListSpots Ltd are not authorized or regulated by the Financial Conduct Authority (FCA) to provide financial advice or recommend specific insurance products. Any insurance contract is strictly between you and your chosen insurance provider.
6. Health, Fitness, and Medical Conditions
Adventure travel involves inherent physical demands. By booking, you confirm that:
- You are physically fit for high-altitude trekking
- You have disclosed any pre-existing medical conditions (e.g., asthma, heart conditions, severe allergies) prior to booking
The Guide’s Authority
For the safety of all participants, the Lead Guide’s decision is final. If you are deemed unfit to continue the trek (e.g., due to severe Altitude Sickness / AMS), you will be escorted down immediately. No refunds will be given for unused services due to medical descent.
7. Assumption of Risk & Liability
You acknowledge that adventure travel (including high-altitude trekking, safaris, and wilderness camping) carries inherent risks of personal injury, illness, or death. You voluntarily assume all such risks.
The Operator accepts responsibility for negligence by its direct crew only.
The Operator is not liable for injury, death, damage, or loss caused by:
- The Traveler’s own actions or omissions
- Unforeseeable or unavoidable actions of third parties
- Force Majeure events or extreme natural conditions
8. Flights and Visas
This contract covers Land-Only services.
We do not arrange, sell, or take responsibility for:
- International or domestic flights
- Visa applications
- Border crossing requirements
It is your sole responsibility to ensure you possess the correct documentation to enter the destination country.
9. Code of Conduct & Local Laws
You agree to:
- Abide by the authority of the Lead Guide
- Observe all local laws and national park regulations
- Respect strict anti-littering and wildlife protection rules
If you commit an illegal act or your behavior is deemed disruptive or dangerous, the Guide may terminate your participation immediately without refund or compensation.
10. Complaints
If you experience a problem during your trip, you must immediately inform your Lead Guide so the issue can be addressed on the spot.
If the matter remains unresolved, you must submit your complaint in writing to:
[email protected] within 28 days of the end of your expedition.

- Booking reference
- Travel dates
- Detailed description of the issue
We will acknowledge receipt within 2 working days. As our guides operate in remote areas, please allow up to 14 working days for a full investigation and response.
